Your guide to vantaform

Everything you need to know about Adaptive Gmail: what it is, why it exists, how to run your inbox, what you can change, how AI helps, and how the system fits together.

  • Adaptive Gmail
  • Personas & Studio
  • AI with consent
  • Keyboard first
  • How the system works

01

What is it?

vantaform.ai is Adaptive Gmail. A full web app that renders your Gmail with a layout built around how you actually work.

It is not a Chrome extension. It never patches mail.google.com. You open vantaform in its own tab, connect Google once, pick a persona, and your inbox is already tuned for that style.

Mail stays in Google. vantaform fetches threads through the official Gmail API when you need them and caches them in your browser for speed. When defaults miss, Studio is where you fix density, theme, shortcuts, and chrome. Those choices become durable config you can export, import, and sync.

02

Why does it exist?

Most email clients give everyone the same chrome. People who clear 200 messages a day and people who live inside long threads do not need the same surface. They need different defaults, not one more buried settings panel.

vantaform starts from how you work. Persona presets land on day one. Light layout learning follows how you use the UI (with your consent). Studio is there when you want full control.

The promise is simple: open the inbox and already feel at home. Then change only what still feels wrong.

03

Why was it built this way?

vantaform is The UI Infrastructure Company applied to email. The backend of software is infrastructure. How you experience it should adapt to you.

That idea shaped every hard rule:

  • Own UIa real product surface on the official Gmail API, not a fragile overlay on Gmail’s DOM.
  • Defaults firstyou are productive before you touch a slider. Studio is correction, not homework.
  • Config as memoryinspectable JSON you can export, import, and carry between machines.
  • Accessopen signup, and Pro-tier capabilities stay free until the product is funded.
  • Human actionsyou archive, send, and trash. No autonomous agent rewrites your mailbox.

04

How to use it

From zero to a usable inbox in about two minutes.

  • Sign upCreate an account in seconds. Clerk handles identity.
  • Connect GmailAuthorize Google once. Tokens stay on a secure server path and never ship in the browser bundle.
  • Choose a personaPick Triager, Reader, Scanner, or Balanced. Layout, density, and behavior apply before your first thread loads.
  • Work the inboxArchive, star, reply, compose, search, and fly with keyboard shortcuts. Reader keeps an inline reading pane; other personas often open mail in dialogs or tabs.
  • RefineOpen Studio from the inbox chrome for layout. Use Settings for theme, type, space, and mail preferences.

05

Personas

Your persona is a launch pad, not a cage. Switch anytime. Unlocked paths reset to the new preset; locked customizations stay yours.

  • TriagerHigh volume, clear the board. Kanban or table lanes, lane tabs, mail dialogs.
  • ReaderLong threads. A thread list plus an inline reading pane at a comfortable density.
  • ScannerSkim subjects fast. A compact subject tape and scan-focused HUD, with mail in dialogs.
  • BalancedThe full inbox shell: folders, sidebar, mail dialogs. Start here if you are unsure.

06

How to get the most from it

You do not need to fight the defaults to get leverage. Lean into them.

  • Ride the right surfaceMatch the persona to today’s workload, then switch when the day changes.
  • Learn the keysInternalize j/k, e, /, and c before you remap. Muscle memory compounds.
  • Trust, then verifyApply L1 suggestions only when they match how you already work. Dismiss the rest without guilt.
  • Split your editsStudio for structure (sidebar, toolbar, density). Settings for theme and type.
  • Carry your layoutDownload your config JSON when you change browsers. Import it to restore layout memory.
  • Sync the chromeTurn on cloud workspace sync for the same chrome on another machine. Mail still stays in Google.

07

What can you change?

Two modes, two jobs.

Use mode (/dashboard) is for email. No drag handles. Full allowlisted mail actions.

Studio mode (/studio) is for design. Live dashboard inside WYSIWYG frames. Save settles the session into memory (and cloud if enabled). Cancel throws the session away.

  • Settings sheetTheme, typography, spacing, signature, auto-advance. Saves the moment you change them.
  • Studio canvasDrag sidebar items, toolbar controls, lane tabs, and per-element props on a live preview. Changes stay in session until you Save.
  • ShortcutsRemap keys under Studio settings → Mail. Duplicate keys are blocked so bindings stay unique.
  • PersonaSwap the whole preset while keeping locked paths you care about.
  • Export / importDownload layout as JSON and restore it anywhere.
  • Profiles + cloudNamed workspace layouts and themes across devices when sync is on.

08

The AI feature

The AI is about layout that fits you. It is not about reading your mail.

  • L1 adaptationA local heuristic engine watches UI signals only: scroll, density habits, shortcut misses, open preference, and similar. It never reads message bodies. When it has a layout tweak, you get a one-tap banner: Apply or dismiss.
  • Studio AIAt /studio/ai, describe a layout change in plain language. You get a validated config patch to preview. Nothing lands until you Apply. Locked paths stay locked.
  • Hard limitsIt does not send, archive, or trash mail on its own. Mail actions stay human. vantaform does not train models on your inbox content.

09

Keyboard shortcuts

Shortcuts fire when the inbox has focus, not while you type in compose or search. Remap them in Studio settings → Mail. Enter always opens the selected thread.

About the whole system

Three systems, one product.

1. Gmail adapter + local mail cache: fetch and act on mail securely.

2. Config runtime: merge persona defaults, your overrides, and session previews into what you see.

3. Agent layer: suggest layout changes from behavior (and later natural language), always with your consent.

  • IdentityClerk for signup and sign-in.
  • MailOfficial Gmail API through a server-only adapter (read, modify, send scopes).
  • CacheZustand + IndexedDB in your browser for lists and threads, with polling for freshness. Mail content is not stored on vantaform servers.
  • ConfigValidated JSON (persona, overrides, locks, composition tree) in IndexedDB, plus optional cloud sync for workspace and themes.
  • RuntimeResolved config drives the dashboard chrome. Studio edits a session until you Save.
  • AgentObserves UI signals and suggests patches. You Apply. Never silent mail actions.
